As an Administrative Assistant you provide day-to-day office support to managers, teams and clients across a wide range of organisations. Your work involves answering telephone calls, greeting visitors, handling incoming and outgoing mail, maintaining filing systems and organising documents. You may also process invoices, schedule meetings, order office supplies and draft routine emails and correspondence on behalf of your team. You work closely with colleagues at all levels, from reception staff to senior management, and are often the first point of contact for people contacting the organisation.
Listen: a day as an Administrative Assistant
You arrive at the office at half eight, sign in and settle at your desk before anyone else needs you. The first thing you do is check the shared inbox and the main phone line for any overnight voicemails. There are three emails requiring a response before ten o'clock, so you draft replies and flag them for your line manager to approve before they go out. By nine o'clock colleagues are arriving and the phones begin to ring steadily. You answer each call, take accurate messages and transfer callers to the right person or department. A supplier rings about an overdue invoice, so you pull up the relevant file on the office accounts system, check the payment status and let them know it has been processed.

Some videos were filmed in the UK. The work itself is the same, but the exams, qualifications and pay they mention are British — we include them so you get a feel for the job.
A Leaving Certificate is the typical starting point, and subjects such as Business, Accounting, Irish and English at any level are useful. Many people enter this role through a QQI Level 5 PLC course in Business Administration or Office Administration, available at Colleges of Further Education throughout Ireland. A QQI Level 6 Higher Certificate in Business or Office Management can strengthen your prospects and open doors to supervisory roles. Some employers, particularly in the public sector, recruit directly from school and provide on-the-job training supported by in-house or ETB-delivered programmes. No professional registration body is required for this role, though ECDL or Microsoft Office certification is widely valued by Irish employers.
Most Administrative Assistants start in general office support roles within SMEs, public bodies, healthcare or education settings and quickly build a broad skill set across scheduling, correspondence and record management. With experience and further qualifications such as a QQI Level 6 award or a part-time business degree, progression to Office Manager, Executive Assistant or Team Administrator is common. Some move into specialist support functions such as HR administration, accounts payable or legal secretarial work. In larger organisations such as the HSE, local authorities or multinational companies, structured grade progressions offer clear advancement opportunities.
AI-powered tools are automating some routine tasks that Administrative Assistants have traditionally performed, such as sorting emails, scheduling meetings and generating standard documents. This means the emphasis is shifting towards higher-value activities such as coordinating complex logistics, managing stakeholder relationships and exercising judgement on sensitive matters. Assistants who become comfortable using AI productivity tools will be more efficient and more valuable to their employers. The human element of the role — handling visitors, managing sensitive situations and supporting colleagues — remains difficult to automate and ensures continued demand for skilled people.
