What does a School Secretary do?

As a School Secretary you are the organisational heart of a school, managing the day-to-day running of the school office and acting as the first point of contact for parents, students, staff and visitors. Your responsibilities include handling student enrolment and attendance records, processing fee payments and other financial transactions, maintaining confidential student files, and managing correspondence on behalf of the principal. You liaise closely with the Board of Management, teaching staff, the Department of Education, and external agencies such as the HSE or TUSLA when required. A typical day might involve answering calls and emails, updating the school management system, ordering supplies, and supporting the principal with administrative tasks.

A Day in the Life

Listen: a day as a School Secretary

0:00 / 0:00

You arrive at the school just before 8:00 a.m., unlocking the main office and switching on the computers before the first bell rings. The phone starts almost immediately — a parent ringing to report a student absent. You log the absence on the school management system, VSware, and flag it for the year head. A few minutes later, a delivery of stationery arrives and you sign off the docket before storing it in the stock cupboard. By 9:00 a.m. the corridors are busy and two students appear at the hatch: one has forgotten his locker key, the other needs a late slip after a dental appointment. You check her note from home, log the late arrival in VSware and hand over the slip. A teacher drops in a request for photocopying — forty copies of a worksheet needed before second class. You fit it in between answering three more emails.

Required Education

There are no fixed third-level entry requirements for this role, and many school secretaries enter through practical experience in office administration. A Leaving Certificate with subjects such as Business, Accounting, and Mathematics is a strong foundation. A QQI Level 5 Certificate in Business Administration or Office Administration, available through PLC courses at Colleges of Further Education or ETBs, is the most common qualification route. Some secretaries hold a QQI Level 6 Advanced Certificate in Business or a Higher Certificate (NFQ Level 6) in Business Administration. Proficiency with office software packages such as Microsoft Office, and experience with school management systems like VSware or Aladdin, is highly valued by employers. No statutory professional registration body applies to this role, though continuous professional development is encouraged through organisations such as Fórsa trade union, which represents many school secretaries.

Required Skills

Career Perspective

Most school secretaries begin in general office or administrative roles before moving into an education setting, or they enter directly after completing a QQI Level 5 Business Administration course. With experience, you may take on greater financial responsibilities, supervise other administrative support staff, or manage complex enrolment and State examinations administration. Some experienced school secretaries progress to senior administrative roles in larger schools, ETBs or within the Department of Education. Ongoing professional development, including short courses in payroll, GDPR or school management software, helps to advance your career.

AI Impact on the job

AI-powered school management platforms are increasingly automating routine tasks such as attendance tracking, absence notifications and standard correspondence, reducing the time school secretaries spend on repetitive data entry. However, the core of this role — dealing face to face with parents, exercising discretion about sensitive matters and providing a human point of contact — is not easily replicated by AI. School secretaries who become proficient with digital administration tools and AI-assisted scheduling software will find their role evolving rather than diminishing. Overall, AI is likely to make the job more efficient rather than threaten its existence.
