What does a Wedding Coordinator do?

As a Wedding Coordinator you manage every detail of a couple's wedding day, from the initial consultation through to the final dance of the evening. You liaise with florists, caterers, photographers, musicians, and other suppliers to ensure everything runs to schedule and within the client's budget. In a hotel or venue setting, you are the primary point of contact for the couple throughout the planning process, often running site visits, menu tastings, and final walk-throughs. On the wedding day itself — almost always a Saturday — you are on the ground coordinating staff, managing timelines, and handling any last-minute issues so the couple can enjoy their day.

A Day in the Life

Listen: a day as a Wedding Coordinator

0:00 / 0:00

Your alarm goes off at 6:45 on a Saturday morning in late August. Today is a 120-guest wedding at the hotel where you work in County Meath. Before you leave home, you check your phone for any overnight messages from the couple or suppliers. The florist has texted to say the petal confetti cones will arrive thirty minutes later than agreed. You make a note and adjust your morning run-sheet accordingly. You arrive at the hotel by 8:00. The run-sheet — a detailed minute-by-minute timeline you built in a shared Google Sheet with the couple over the past year — is printed in three copies: one for you, one for the banqueting manager, and one for the head chef. You walk the function room with a housekeeping supervisor, checking that the centrepieces match the mood board the couple approved at a site visit back in April and that the seating plan posted at the entrance is correct.

Required Education

There is no single mandatory qualification to become a Wedding Coordinator in Ireland, but a QQI Level 6 or Level 7 qualification in Event Management, Hospitality Management, or Tourism is the most common starting point. Useful Leaving Certificate subjects include Home Economics, Business, and languages, though strong interpersonal skills and relevant work experience often carry equal weight with employers. Many entrants complete a Level 5 or 6 PLC course in Event Management or Hospitality at a College of Further Education before progressing directly into venue roles. Degree programmes in Event Management or Hospitality Management are offered at TU Dublin, ATU, SETU, and other technological universities at Level 7 or Level 8. Practical experience gained through hotel or catering work, internships, or volunteering at events is highly valued by employers when hiring for coordinator roles.

Required Skills

Career Perspective

Most Wedding Coordinators begin in general hospitality or events roles — working as a banqueting assistant, front-of-house team member, or events administrator — before moving into a dedicated coordinator position. With experience handling a full diary of weddings independently, you can progress to a Senior Wedding Coordinator or Events Manager role, often with responsibility for a wider portfolio of private events. In larger hotel groups you might advance to Director of Events or Food & Beverage Manager, overseeing a team of coordinators. Some experienced coordinators move into independent wedding planning, building their own client base and supplier network.

AI Impact on the job

AI planning and scheduling tools are beginning to assist Wedding Coordinators with timeline creation, supplier research, and budget tracking, reducing some of the administrative workload. Couples are using AI-driven mood boards and design tools to arrive at consultations with clearer ideas, which can streamline early planning conversations. However, the emotional intelligence, relationship management, and real-time problem-solving central to this role are not replicable by AI, meaning the core of the job remains firmly human. Coordinators who embrace digital tools for administration will likely be more efficient, freeing time for the high-value client-facing work that defines the role.
