As a GP Practice Assistant you support the day-to-day running of a general practice, carrying out both administrative and basic clinical tasks under the supervision of a GP or practice nurse. Your administrative duties include managing patient appointments, maintaining accurate health records, handling referral letters, and dealing with patient queries at reception or by phone. On the clinical side you may assist with routine procedures such as taking blood pressure readings, preparing examination rooms, sterilising equipment, and carrying out point-of-care tests. You work closely with GPs, practice nurses, and other administrative staff to ensure the surgery runs smoothly and patients receive safe, timely care. The role demands discretion, reliability, and a calm manner when dealing with patients who may be anxious or unwell.
Listen: a day as a GP Practice Assistant
You arrive at the surgery at 8:15 a.m., fifteen minutes before the doors open to patients. Your first job is to switch on the practice management software — most Irish GP surgeries use a system called Socrates or Helix Practice Manager — and check the appointment list for the day. You print the morning call-over sheet for the GP and flag any patients who have outstanding blood results or overdue referrals. By 8:30 the phone lines open and they rarely stop. You handle a steady stream of calls: booking routine appointments, fielding requests for repeat prescriptions, and directing urgent queries to the practice nurse or GP on duty. A patient arrives at reception confused about their medical card renewal; you explain the HSE MyWelfare online process calmly and point them toward the local Intreo office for extra support.
Entry into this role typically requires a QQI Level 5 award in Medical Administration, Healthcare Support, or a related health services programme, available through Colleges of Further Education and ETBs across Ireland. Leaving Certificate subjects such as Biology, Chemistry, Business, and English at any level provide a useful foundation and may help with course entry requirements. Some employers accept candidates with a QQI Level 5 in Office Administration combined with relevant healthcare experience. A QQI Level 6 Higher Certificate in Health Services Management or a similar award can strengthen your prospects for more senior administrative roles within a practice. While formal registration with a statutory regulator such as CORU is not required for this support role, employers expect up-to-date manual handling, GDPR awareness, and basic life support training. Experience gained through work placements, volunteering, or previous healthcare employment is highly valued by GP practices when recruiting.
Most GP Practice Assistants begin their careers after completing a QQI Level 5 healthcare or medical administration programme, often gaining initial experience through a work placement arranged as part of their course. With a few years of experience, you may take on greater responsibility for clinical support tasks or move into a senior receptionist or practice coordinator role. Further study at QQI Level 6 or a part-time Higher Certificate in Health Services Management can open doors to practice management positions, where you oversee administrative staff and support the business operations of the practice. Some practitioners use this role as a stepping stone into nursing, health information management, or other allied health careers by returning to full-time education.
AI-powered scheduling tools and automated appointment reminder systems are already reducing some routine administrative workload in busy GP practices, allowing assistants to focus more on patient-facing tasks. Clinical decision-support software may assist with flagging urgent test results or prompting follow-up actions, but human judgement and interpersonal skills remain essential for safe patient care. Voice-to-text and AI transcription tools are beginning to speed up clinical note-taking, which may change how assistants support record management. Overall, AI is likely to augment rather than replace this role, as the personal, hands-on nature of patient support and clinical assistance requires human presence and empathy.
